Bordereaux that reconcile before anyone chases a coverholder
Bordereaux are spreadsheets, so opening them is never the problem. The problem is that every coverholder builds theirs differently, columns move from one month to the next, fields arrive blank or inconsistent, and someone still has to check each line against the binder and tie the total back to the cash. The work is repetitive, the errors are expensive and the deadline comes round every month.
What it does
- 01Maps each coverholder's spreadsheet to your own schema, and keeps up when their columns move or a new one appears
- 02Checks the quality of what arrived: blanks in mandatory fields, dates and currencies that do not parse, duplicated or missing risks against the previous month
- 03Validates entries against the binding authority itself, so risks outside the agreed limits, territories, classes or period are raised for review
- 04Enriches thin rows, so a risk that arrives with a postcode and little else is completed from the data you already hold
- 05Reconciles premium, commission and claims movements against what you expect, and against the cash received
- 06Presents each exception with the evidence attached and a query ready to send to the coverholder
What it changes
- The monthly cycle stops being a scramble, because exceptions surface in the first hour, not on the last day
- Coverholder queries go out earlier and more precisely
- Your delegated authority reporting is built as the work happens
What you can check
Every file, mapping, match and exception is logged with its source row. The reconciliation can be reproduced from the record.
What it looks like
Illustrative. Built around your firm, your clients and the systems you already run.
Questions
- What if a coverholder changes their format?
- The change is flagged instead of being silently misread, and the mapping is updated once.
- Does it post anything to our systems?
- Only what you decide it should. By default it prepares, and a person approves.
- Can it handle risk and claims bordereaux as well as premium?
- Yes, and they can be reconciled against each other.
