Billing and collection
Bill as soon as the work is done, and stop chasing payment by hand
Bills go out as soon as the work is finished, and each client is chased in whichever way gets a response.
The problem
Work sits finished but unbilled, then invoices sit issued but unpaid.
Every one of those days is your money funding your clients.
What the system does
- 01Prepares the bill as soon as the job is complete, for approval under your existing rules.
- 02Chases each client for payment by the method, and at the frequency, that gets a response.
- 03Escalates by age and value, with anything sensitive routed to the partner first.
- 04Shows WIP and debtor days by partner and client, so the cause is visible.
The numbers it moves
- Lock-up days
- Split into WIP days and debtor days, measured from your own ledger on the same report as before.
- Cash flow
- The one-off release of cash as lock-up falls, then the ongoing benefit of billing sooner.
What you can check
Lock-up is measured from your own ledger, before and after, on the same report. Nothing is claimed that your finance team cannot reproduce.
What it looks like
Illustrative. Built around your firm, your clients and the systems you already run.
Questions
- Will clients be chased too aggressively?
- The cadence and tone are yours to set, per client if you want. Anything sensitive goes to the partner before it is sent, and long-standing clients can be handled differently from the rest.
- Does it change our billing approval process?
- Only if you want it to. The system prepares bills to your existing approval rules, so only the timing changes. The same people sign off.
- How quickly does lock-up move?
- Billing moves first, because work billed on completion stops adding WIP days immediately. Debtor days follow more slowly, since existing invoices still have to run their course. Discovery sets the baseline, so the change can be measured from the first month.
