Find the work that never reaches an invoice
Work that falls outside the engagement letter is identified while it can still be billed, and the fee note is drafted for a partner to approve.
The problem
On fixed fees, extra work arrives one favour at a time: a question by email, an extra schedule, a phone call that turns into an hour.
By the time anyone reviews the job, the work is weeks old and nobody wants to raise it with the client.
What the system does
- 01Reviews client email and job activity for work that falls outside the engagement.
- 02Compares what the client asked for with what the engagement letter covers.
- 03Drafts the fee note, with the work and dates set out, for a partner to approve.
- 04Flags recurring requests, so they are dealt with at the next fee review.
The numbers it moves
- Recovery rate
- Fees billed as a share of the time recorded at standard rates, taken from the same report before and after.
- Write-offs
- Measured job by job, so the change shows for each engagement.
- Margin
- The work has already been done, so fees raised for it go almost entirely to margin.
What you can check
Every flagged item is logged. Value is counted only once a partner approves it as billable, so the reported figure is made up of fees your practice chose to raise.
What it looks like
Illustrative. Built around your firm, your clients and the systems you already run.
Questions
- Does it read all our client email?
- It reads only the mailboxes you connect, and only to identify work outside the engagement. Access is limited to what the system needs, every action is logged, and the data stays in your own cloud account.
- Who decides what gets billed?
- A partner, every time. The system prepares the fee note and the evidence behind it. Nothing is sent to a client without approval.
- What if a client disputes the extra fee?
- The fee note sets out the work and when it was done, drawn from your own records. Disputes usually arise when a fee is raised months later with nothing to support it, which is the situation this avoids.
